- This Tender & Contracts Specialist position will be responsible for the end-to-end process of coordinating, writing and submitting tender responses and ensuring all contracts are signed with accurate and complete records and reporting.
- The key functions of this role will be tender coordination & management, contract compliance reporting, management of stock shortages, contract rebate management.
- In relation to Tender Coordination & Management, this position will prepare, review, modify and complete tender submissions and partner with internal stakeholders to ensure all information included in tenders is accurate and relevant and provide updates on tender progress.
- The role is responsible for attending tender briefings with internal and external stakeholders and maintaining relevant and effective reporting systems.
- You will ensure all documentation relating to tenders pre-submission, submission and post submission are captured in Salesforce and suggest improvements in the tender submission process.
- You will ensure pricing approvals are completed and distributors informed of contract amendments.
- In relation to Contract Compliance Reporting, you will support the monitoring of customer compliance and adherence to contracts and develop reports for customers and reports for internal use that provide sales and management with reporting data that is easily actionable.
- In relation to the Management of Stock Shortages, you will work with supply chain and management to determine stock allocations for contracted customers at times of shortages and liaise with distributors to implement substitution arrangements and/or stock restrictions to minimise the impact on the organisation and customers and you will assist customer service with queries in relation to eligible customers and products.
- In relation to Contract Rebate Management, you will manage special rebate arrangements in relation to contracts with customers and generate monthly/quarterly sales reports to calculate the rebates and ensure invoices are received from customers and rebates processed.
- Knowledge, skills + experience from working in a similar role, preferably in the pharmaceutical or medical device sectors, although not mandatory.
- Tender preparation experience with logical thinking, problem solving & computer literacy.
- Excellent customer focus and attention to detail with proven communication and negotiating skills.
- Excellent presentation skills with the capacity to confidently facilitate meetings and deliver presentations.
